There are two types of email hosting that you can find online. First is the free email hosting services, then there are also the paid email hosting services. A person can choose either of the two, but choosing should be based on their needs in order to get the best benefits that both email hosts are offering.

If a person would only like to have a personal email for regular communication purposes or registering to social networking sites, then it would be beneficial to just get a free email hosting service. Since this is just going to be used for personal purposes then it would be okay not to shed some amount just to get the service.

The number one benefit that you can get and perhaps is the most important is security. Since they are paid email hosting services, you will be assured that security has been enhanced in order to protect your email from virus.
The next thing that you will get from paid email hosting is that it will be free from any advertisements that are cluttering your email interface. Simultaneously, you will have your email interface loaded immediately rather than waiting for the advertisements to load first before you can access your email.

Finally, using your business name is going to be used for your email if you will get a paid email hosting. With this, you are increasing the chances of your business being remembered by the prospect since you it is already used in your business email. Simultaneously, your client will not hesitate from getting service from you as your business will leave an impression of being well established and of high professionalism.

Determining which features of email are the most important for your business or company will allow you to make a much more informed decision when it comes to choosing a service provider for your email needs. Here is a look at some of the most important features that your email service provider should offer in order for your company to benefit.

- Quality Virus and Spam Filtering. Because as much as 95% of the email floating around is junk mail or spam, having a quality filter to protect against spam and virus-laden email is vitally important for your business. Your email service provider should have experience handling potential threats and a solid filter for removing them.

- Web mail, POP and IMAP Access. Reputable email service providers will offer all three of the most common methods of accessing email, which are POP access, IMAP access and Web mail access.

- Technical Support Live – If your employees need to be able to speak to a real person for the purpose of technical support, then working with an email service provider that offers live support is vitally important.

- Email Forwarding. Email forwarders can be used to send email to another account for an original account. Email forwarders should be capable of being set up for common misspellings of names, for generic departmental emails and if an employee leaves the company and would like to have their email messages forwarded to a new account for example.

- Email Groups. Email groups are collections of user accounts that receive email messages from common email accounts. Email groups can be used to send department wide announcements, to send support emails and to reach out to groups of employees working on special projects.

- Domain Mirrors. Domain mirrors are designed to be set up so that they automatically sync emails with matching user names even when the domain names are different. In other words, domain2.com and domain1.com can be mirrored to one another. This will allow you to use domain names that have different top levels, to use different websites and also to make use of common misspellings for a primary domain.

- Shared Calendars. This is a great feature if you can find it because it allows you to share a single calendar among numerous users to prevent conflicts in scheduling, to notify employees about notable dates and events and to keep track of special dates, deadlines, milestones and so on.

- Shared Contacts. Sharing contacts is another useful characteristic of business email because it makes it easier for your employees to obtain the pertinent details for contacting other emails, sales contacts, vendors, clients and strategic partners as they need it.

These are the most important features that your email service provider can offer you. It is important to know which of these features matter to you so that you can offer them to your employees.

Provides email2 technology that enables to create a private email network. Products include email security solution, corporate email security, encrypted email service and email security services.

When companies are trying to avoid the potential for infiltration and corruption in their e-mail system, one of the options that is available for them to consider is to create a business private e-mail network or PEN. Not only is this a completely attainable goal for any company that wants to make their email network more secure, but it is becoming increasingly necessary as businesses need to be capable of protecting their private and personal information in more secure ways.

Private Email Messages
With enough persistence, someone that is interested in breaking into your company’s private email messages certainly can do so. This is especially possible when it comes to open WiFi locations. Not only could they potentially read sensitive information in the emails traveling between members of your company, but there is also potential there for them to manipulate and change the information in those documents to harm your business. Proprietary information can be stolen and email messages can be forwarded on, altered or not, without anyone being wise to the fact that the message was ever intercepted. This can spell disaster for an unprepared company.

For all types of companies then, regardless of the types of information that are regularly sent via email message, it has become necessary for you to choose an email client that is secure and that will protect the information stored in email messages as it is being sent. The best idea is going to be to use an open architecture type of system that is going to be supported well into your company’s future rather than choosing a more proprietary system that will only last for a few years.

What a Private Email Network (PEN)
A Private Email Network or PEN attempts to achieve is to pass email messages around only within the company on a local or intranet level, meaning that the email messages are never vulnerable to hackers because they are not being exposed to the internet at large. When employees at your company communicate through the Private Email Network, they are communicating only within your company’s own office building, which means that private correspondence is kept safe and secure, and you can rest assured that your proprietary information and personal communications are being kept completely private.

For example, the email2 platform enables your organization to create a Private Email Network, a trusted channel for confidential conversations with colleagues, stakeholders and clients.

There are a number of different turnkey systems that are available for companies large and small that are looking to create a local, private email network that can be relied on for correspondence within the company without a threat of outside interests getting in. The best systems typically involve the use of a simple program that makes sending email within the private email network easy and intuitive, behaving as a normal email system would, though the email messages never leave the closed loop system and therefore they are never vulnerable to attacks. This is the best way to protect your company’s private correspondence from prying, outside eyes.

In today’s business environment, which is as competitive as ever, every little advantage that you can create against competitors is going to benefit you, and having an e-mail address is one such advantage. Even something as small and as simple as an e-mail address can have a large impact on your business when it comes to determining whether or not you are going to land a deal, or create a sale before a competitor can.

When the internet was first taking off a few years ago, nearly everyone was signing up to utilize free web based email services such as free access mail. These were very convenient services at the time, and they gave us a means of communicating with other people all over the globe. Free browser based email services are still quite popular today, as there are millions of people subscribed any Free access mail. These free web-based e-mail services were primarily created for individuals that wanted email accounts, but businesses have also utilized these email services as well. In the past, having an free access account, an -at-free access mail.com account or an -at-yahoo-dot-com account was perfectly acceptable, even if the account was intended for business purposes, but this has changed significantly in recent years.

Now that we have moved so far forward in the realm of digital business, something looks fishy if you are still using one of these free email service providers as your primary business e-mail address. If you are using a free access mail account for your primary business contact, you may actually be giving people the wrong idea about your business by telling them that you are not serious about what you do. Because it has become so important for business people to have websites, you should already have an email to correspond with your domain name, meaning that there is absolutely no need for using a free web based service for your email needs.

Having an e-mail address is vitally important for communicating with other business people, clients, customers and people interested in what you do for a living. But you need to understand the difference that exists between being johnsmith-at-free access mail.com and being johnsmith-at-yourcompanyname-dot-com. If you are serious about having people take you and your business seriously, then you have to have a yourcompanyname-dot-com website, and an accompanying e-mail address.

If for example you run a communications company, then telling people that your e-mail address is JohnSmith-at-A1Communications.com is definitely going to be better for your reputation and image than telling people that your email address is A1Communications-dot-free access mail-dot-com. Which company would you sooner rely on? For this reason, it has become vitally important for you to have a website and an accompanying email address that helps to build your reputation in the business world rather than to tear it down.

So how important is an email address these days? Vitally so, if you want your personal life, social relationships and business to go anywhere in this highly competitive world.

Email Etiquette

In order to effeciently communicate on the Internet it is critical to understand the unwritten rules of email communication. Please use these tips as a guideline to online email communication.

1.) Unless you are using encryption, Internet E-mail is not secure.

2.) Do not use all capitals in email exchanges, it is considered SHOUTING and is considered rude.

3.) Keep in mind that the Internet is international, words and humor can be perceived differently by different cultures.

4.) When replying to messages be aware of “cc:” field. Recipients listed in the “cc:” field will receive a copy of the post. (The “bcc:” field sends messages blind, meaning recipients don’t know that someone else has received a copy of the email or been carbon copied)

5.) Use emoticons or to indicate expression.

6.) When forwarding email be sure not to create a loop in the system. In addition, be sure not to setup auto-responders to reply to every email, or endless loops will be created.

7.) There can be costs associated with Internet connectivity and downloading emails. Do not send attachments that take a long time to download, without the recipients consent.

8.) Include in the “subject” line a heading that relates to the message body.

9.) Use 4-6 lines for your signature line, this is an opportunity to highlight your business or company information, but don’t be ostentatious..

Mailing Lists & Newsgroup Etiquette

In order to participate in news groups, you must have an understanding of newsgroup etiquette.

1.) Be familiar with lists/newsgroups prior to posting, read posting.

2.) Keep in mind that newsgroups and mailing lists are frequently archived and that posts will be preserved.

3.) If you are replying to a message be sure to include the text of the original message which you are replying to. Use “>” indicators if your mail program does not do this for you.

4.) Don’t get involved in flame wars (or material which is personal and unproductive).

5.) Keep in mind that the Internet is international, words and humor can be perceived differently by different cultures.

6.) Use 4-6 lines for your signature line, this is an opportunity to highlight your business or company information, but don’t be ostentatious..

7.) When responding to a post, keep the subject line the same, so that it will appear in the same thread.

8.) Cross posting to multiple lists is often prohibited. Read posting guidelines.

9.) Expect delays in moderated forums, each posting must be approved.

10.) Anonymous posts are unaccepted in many newsgroups.

11.) Be aware that some people use aliases when posting to Usenet groups to avoid SPAM (unsolicited email). Also keep in mind that anything goes on unmoderated Usenet.

12.) Most lists don’t allow for binary attachments.

Are you planning on launching an online business? In that case you may have to concentrate on a few preliminaries prior to your debut. You may, additionally, have to undertake a detailed study of the market in order to assess the magnitude of the returns on your investment.

In order to project professionalism and leave a great first impression, you want to be sure that your website is easy to navigate, and that even the biggest computer illiterate will find his or her way around. Links need to be easy to notice and have appropriate names. Additionally, the site must be interesting, have complete information and be grammatically correct.

Then you have to consider the search engine optimization or SEO. This necessitates you to make use of a number of tactics through which your business web site is noticed and observed by the correct people. There are many search engine optimization strategies and a few of them used by the companies are keyword listing, optimization of the site code and getting the top position in the search engine.

You can optimize the various plans by understanding what website hosting is. Regardless of how grand your web site appears or how effectual the SEO tactics are, if you do not have the proper website hosting plan, nothing would matter since your website hosting plan would just prevent the site from being properly uploaded as well as seen.

A key necessity to your business strategy is to have your own online web-site. The question you need to be concerned about is whether you want to use a no cost hosting service, or if you can afford to pay hosting fees. Many sites offer web hosting for free, which benefits everybody; however, free business hosting might not be able to accommodate all your business needs. You have to carefully weigh both options before making a decision.

When choosing to use a free web-hosting service you will more than likely run into problems regarding advertisements. You have to be sure that you are comfortable with the fact that these ads might consume a lot of your web-space and possibly aggravate site visitors. That’s however, why most free hosting services are free of charge.

Overselling is a big trend in the web-hosting world at the moment. It’s an easy way to get more out of your servers than normally is possible. The basic idea of overselling is that the majority of your clients are only going to use a fraction of the resources allocated to them so there’s going to be a lot of wasted bandwidth and space. Overselling involves taking a gamble and selling more than you can handle assuming that the unused resources will cover it.

Let’s say for example that a server hard drive is 80GB and has 1200GB of bandwidth. The hosting company has a look around and decides that to be competitive they need to offer plans with 2GB of disk space and 40GB bandwidth. With these figures they can only offer 30 hosting packages per server. This leaves quite a bit of wasted disk space and after a few months the company will probably notice that their users aren’t using all of the available bandwidth. Because of this the company then assumes that it can safely sell at least 10 more packages on the one server. If the original number of customers already covers general costs then the extra packages provided by overselling are pure profit.

The advantage of overselling for the host is that they make more money off each server than they otherwise normally would be able to. The advantage for the client is that this extra revenue is usually transferred on (at least in theory) by cheaper hosting packages with more features. The problem is that these features are often ‘smoke and mirrors’. A few users would be able to use their entire allotment without any trouble, but if every single client were to build their website up to maximum capacity the host wouldn’t be able to handle the sudden increase in demand without adding extra hard drives, buying more bandwidth, or perhaps even another server. This would most likely lead to a fair amount of downtime.

Web hosts aren’t going to advertise the fact that they oversell. It’s not something that will gain them customers and it’s likely to drive away a few. In general however, they’re likely to get away with it without any real problems. The reason the idea even exists is that it is true that the majority of websites don’t use all of the space that’s allocated to them. The problem is that it’s not a particularly honest way of dealing with clients. It’s a little like the ‘Emperor’s New Clothes’ where the host is just hoping that no one notices the fact that a package is in fact a little nude.

Overselling will generally not be a problem unless a host gets too greedy and ends up selling much more than they could possibly provide for. On the other hand, it’s not even necessary as the host can usually make enough money to make ends meet without overselling. It will generally be quite difficult for you to find out whether or not a host oversells unless they specifically advertise it, or they’re well known for having problems due to excessive overselling. Just make sure you do some research and choose a reliable host, not necessarily the one that appears to offer ridiculous amounts of bandwidth or disk space for far too little money.

One of the most confusing decisions someone new to web hosting will have to make is which platform their server should be on. There are a number of different choices out there but the main two are Linux and Windows web servers. There are also a lot of sources of information about hosting, but the majority of them are tainted by the author’s biased personal opinion unfortunately confusing the issue. Having just put in some solid hours researching the topic I have come to the conclusion that in general it quite probably does not matter which server you use. For the majority of people it will be far more important to choose a really good web host than to worry about the server-type that they implement.

Microsoft developed and owns the Windows operating system. Linux is open source and generally free. This means it can often be more expensive to set up and run a Windows server. However, this fact doesn’t really affect you unless you are actually setting up a server for yourself and if you’re reading this article then I’m guessing that it’s safe to assume you’re not. This article is going to offer information for those trying to decide which hosting company to go with. The cost involved in running a server does not affect the cost of a web-hosting package as much as you may think. Despite the general opinion that Windows servers are more expensive to run, buying a Windows hosting package can often turn out to be just as cheap or even cheaper than an equivalent Linux hosting package.

Some people naturally assume that because their PC runs Windows they need to buy a Windows hosting package. This isn’t true. Access to your web account will most likely be through FTP or a control panel and both servers support these methods. The main difference is that some of the FTP commands are slightly different between Linux and Windows and some FTP programs will be designed with one or the other in mind. This means you may occasionally find that when you try and get your FTP program to do something it returns an error message, but it won’t happen very often.

Your choice of server platforms should be dictated by the use to which you intend to put it. The majority of web features run fine on both platforms including PHP, mySQL, POP3 etc. If you intend to create your site using ASP, FrontPage, the .NET environment, Windows Streaming Media, Access, MSSQL, or any of the other Microsoft proprietary technologies then you probably need to use a Windows host. There is limited support for a number of these technologies in Linux, but they can be expensive and are usually lacking in features. It is probably worth considering the fact that if you use server specific technologies and then change hosts you’ll have a much harder time of it than if you use technologies that can be run on any system. Having it run generic technologies removes the need to focus on specifics and allows you to focus on the quality of service itself.

The reliability and stability of the different platforms have been the topic of many long arguments. The main reason that Windows is seen as being insecure is that it is the most widely used operating system for home PC’s. People spend more time looking for flaws in the most common system. With Linux being the most common server type, it has a surprising number of successful hack attempts made on it. In the end the security of both platforms comes down to the competency of the system administrators. If you are security minded then you’ll do better to make sure that the hosting company is reputable and highly skilled than to worry about the server they use.

In terms of performance there’s not a huge difference between the two servers. Linux reportedly performs faster because Windows (as usual) attempts to offer an ‘all in one’ package instead of the extendable Linux implementation. You’ll generally not notice a difference but if performance is of utmost importance to you then maybe this will influence your decision.

I’ve come to the conclusion that unless you are specifically using features that are unique to one platform or another your time will be much better spent looking for a really good quality host than a really good quality server. Developers are constantly improving both Linux and Windows so they should be fairly close in terms of features, security, and reliability for a long time. It’s the people implementing them that you should be basing your decision on.
